Meeting Minutes
March 23, 2010
Call to Order: The meeting was called to order at 3:45 p.m.
Present: Carolyn Locke, Gloria Gery and Library Director, Jessica Kelmelis. ~~~Excused: Penny Babbitt
Minutes: The December 15, 23009 meeting minutes were approved unanimously.
Old Business:
Dehumidifier: The dehumidifier in the Library basement is fully operational. Wayne Carr and Jessica determined that it is sufficient. Water drains into the existing sump pump.
Aetna Volunteer Grants: ~$900 was received from Aetna, Inc. in December 2009. Trustees Gloria Gery and Penny Babbitt are Aetna retirees and are eligible for $300 each in volunteer grants annually for their service to the Library. One $300 grant request was carried over from 2008. Penny and Gloria designated these monies to be used for materials purchase at the discretion of the Librarian. Jessica will be researching educational software and DVD purchase for the initial use.
Bookmobile service has been permanently discontinued.
Regionalization: There will be two meetings this week on possible consolidation of Library regions. Jessica is unable to attend either meeting.
Tolland Flag: Jessica presented the design of the Tolland flag to the Selectmen who made final suggestions to the artwork. Hillary Carl is completing the artwork. The design will be sent to Sentry for flag production.
New Business:
Library Lending Policy Revision: Jessica recommended that the Tolland Lending Policy be revised to state that Tolland patrons who keep materials obtained through Interlibrary Loan will be responsible for late fees and/or materials replacement costs when they keep materials beyond the due date. Details of the new policy were discussed. A revised copy will be circulated by email to Directors for approval and immediate implementation. There will be no change in overdue book policies for materials owned by the Tolland Public Library. The revised policy will be published in the Tattler, published on the website News and Notices and placed on the Library web page.
Notices will be placed in all Interlibrary Loan books at checkout so that patrons are aware of their responsibilities.
The Tolland Library does not lend books through the Interlibrary Loan system since it is not a full member of the CWMARS system.
Facebook Page for the Library: Jessica Kelmelis recommended that the Tolland Library create a Facebook page on which to publish news, acquisitions, event information, etc. There is no cost for the page. Availability will be published in the Tattler and on the website. The recommendation was unanimously approved.
Photographic Archive of Tolland in 2010: Jessica Kelmelis is creating a project to construct a digital photographic archive of Tolland in 2010 as part of the Bicentennial. Two physical albums will be created (for the Library and Historical Society) and an archive will be available online through the Tolland website. Jessica will photograph public buildings and spaces. The April Tattler will request that residents photograph their homes for the archive.
GTCSF Book Sale: The Granville Tolland Citizens Scholarship Foundation will be holding a book sale to benefit the foundation on the weekend of May 14th. Jessica will be bringing books/materials for the sale.
VHS Tapes: Demand has dried up for VHS videos. All tapes will be donated or destroyed. Residents may come to the Library to take any VHS tapes they wish at no cost.
Capacity of the Library for Meetings/Events: Gloria Gery reported that Tolland Building Inspector, Eric Munson, Jr., revised the maximum capacity of the Library following reinforcement of the flooring/installation of new beams. Capacity is now 15 people based on square footage, number of exits. Jessica will request a new certificate for display at the Library and post when received.
Trustee Term End: Trustee Penny Babbitt’s term as a trustee ends in May 2010. Penny is interested in serving again. Her name will be placed in nomination at the Town Caucus.
Next Library Trustees Meeting Date: Tuesday, June 15, 2010 at 3:00 p.m. at the Library.
